 Panama Guided Birding Tours                                            

Terms and Conditions

Booking, payment, cancellation and responsibility for tours operated by Beautiful Tours, S.A. Please read them before you book.

1. Who we are

These terms are offered by Beautiful Tours, S.A., a travel agency and tour operator licensed by the Panama Tourism Authority (ATP License No. 687-AV), which operates guidedbirdtours.com and panamabirdguide.com ("we", "us"). "You" means the person who books and everyone travelling on that booking.

2. Booking and payment

• Day tours, combo tours and cruise excursions are paid in full when you book, online through WeTravel or by another method we agree with you.

• All prices are per person, in US dollars, and include Panama's 7% ITBMS tax. WeTravel's service fee and the card processing fee are added at checkout and paid by the traveler.

• Please book at least 15 days before the tour. For sooner dates, contact us first so we can confirm a guide.

• Multi-day packages and tailored trips (including Darién) are quoted individually; the quote states the deposit, the balance due date and any third-party conditions. When a lodge, the Darién operator, an airline or another provider needs a deposit or full payment to hold your space, the quote shows that amount and when it is due, and we ask you for it in time to pay the provider.

3. Cancellation by you

Day tours, combos and cruise excursions

• 7 days or more before the tour: full refund of the tour price.

• 2 to 6 days before: 50% refund.

• Less than 48 hours before, or no-show: no refund.

Multi-day packages

• More than 60 days before departure: full refund, minus non-refundable fees and any third-party costs already paid (for example lodges or flights).

• 60 to 30 days before: 50% refund.

• Less than 30 days: no refund.

• Deposits and payments we have already made to providers for your trip (for example a lodge, the Darién operator or flight tickets) are not refundable if the provider does not return them to us, so your refund can be smaller than shown above. If a provider later refunds us, we pass it on to you.

• You may replace a traveler with another person at no charge.

WeTravel service fees and card processing fees are not refundable. Please cancel in writing (email or WhatsApp).

4. Cancellation or changes by us

If we must cancel a tour (for example because of weather, safety, road conditions or guide illness), you choose between a free change of date and a full refund. That refund is the limit of our responsibility: we are not responsible for other expenses you made for the trip, such as flights, visas or equipment. Routes and timing may change on the day when weather, wildlife or road conditions make it better or safer; your guide will explain why.

5. Your health, fitness and conduct

Tours involve walking on trails, sometimes uneven or muddy, in a hot and humid climate. Please tell us about any medical condition, mobility limitation or diet when you book, so we can adapt. We may decline or end a person's participation if their safety or the group's is at risk.

6. Risks and insurance

Nature tours involve some risks, including insect and snake bites, wildlife, weather, and travel by vehicle and boat, and some areas are far from medical help. We carry the liability insurance required of licensed tour operators by the Panama Tourism Authority. It does not replace personal travel and medical insurance, which we strongly recommend for every traveler.

7. Suppliers and responsibility

Some services (transport, boats, lodging, meals, guiding) may be provided by independent suppliers we select carefully. We are not responsible for events beyond our reasonable control, such as natural events, strikes, civil disturbances, government actions, or delays and changes by carriers or lodges.

8. Photos and personal data

We use your contact details only to arrange your trip. We may share photos taken on tour only with your permission.

9. Disputes

If something goes wrong, please tell us right away so we can try to fix it. Both parties will try in good faith to resolve any disagreement; if that fails, the laws and courts of the Republic of Panama apply.
